Send payslips to employees

E·BIZI Pay sends payslips by email or by WhatsApp, either one person at a time or the whole payroll at once. Both need the month confirmed first.

Choose how a payslip reaches someone

There is one Send payslip button, not one per channel. Which channel it uses comes from Preferred contact channel on the employee's own record, so you set it per person rather than per send. See employee details explained.

Set it to email and the payslip goes to the email address on the record. Set it to WhatsApp and it goes to the WhatsApp number.

Choosing WhatsApp does not retire the email address. If the WhatsApp number is blank, or that person has opted out of WhatsApp, the payslip goes by email instead.

Confirm the month first

Send payslip does not appear on an employee row until you have confirmed the payroll. That is deliberate: sending a payslip you are about to change is worse than sending it a day later. See close a payroll period.

Send one person's payslip

Open their row on the Payroll screen and choose Send payslip. Confirm when you are asked. It goes on whichever channel that person prefers.

Send the whole payroll

Go to Processing and choose Mark complete on Send Payslips.

E·BIZI Pay asks you to confirm, because this goes to everyone:

Send pay slips to entire payroll. This option will send pay slips to the entire payroll. To send a specific payslip, please use the 'Send payslip' option under the individual employee in the Payroll screen.

Choose Send to all to go ahead, or Cancel.

Each person still gets theirs on their own preferred channel. A payroll with some people on email and some on WhatsApp goes out on both from this one send.

The first WhatsApp payslip asks permission

WhatsApp does not allow a business to message someone who has not agreed to hear from it. So the first time you send to a number we have not messaged before, that person gets a short message asking permission, and their payslip waits behind it.

They agree by replying to that message, and the payslip follows. Nothing on the Payroll screen tells you a payslip is waiting, so treat a missing first payslip as this until you have ruled it out.

Permission also lapses after a long enough quiet spell, which can put someone who has had payslips before back through the same step.

Someone who opts out gets nothing, and no email in its place. Change their Preferred contact channel to email to start their payslips again.

Check the contact details first

Payslips go to the contact details on each employee, and a payslip is not something you want landing on the wrong phone or in the wrong inbox. Before sending to everyone, it is worth a look down the Employees list, particularly for anyone who has recently left, changed their number, or changed their email.

If someone says they did not get it

On WhatsApp, ask whether they got a message asking permission. If they did, they need to reply to it before any payslip reaches them.

On email, ask them to check spam. An automated email with a PDF attached from a sender they have not corresponded with is exactly what filters hold back.

Then check their record. A typo in the number or the address is the most common cause, and E·BIZI Pay cannot tell the difference between a wrong one and one that is not being read.
